Our last blog post focused on the first part of fast response: the Phone Call. The second part of a fast response is your introduction email. This is an incredibly important part of the process: you may or may not be able to reach a lead immediately, so you should leave a voicemail and send out an email quickly. If you are able to reach the lead on the phone, still send an email so that they'll have a written introduction to your services and your contact information in writing. Step 2 for Lead Generation Success:Email IntroductionThe easiest way to follow up with leads is to create a template that you're able to send out quickly with minor tweaks in customize it for each lead. What should an Introduction Email template include?
Sample email template:Dear [NAME], Hello, my name is [YOUR NAME] and I just received your request for real estate assistance [INSERT REQUEST: with buying a house in San Francisco, California]. You filled out a form online at [NAME OF REFERRING SERVICE] and I was matched to you as the best Real Estate Agent in the area to help with [LEAD'S NEED: selling your home/buying a new home]. Your request interested me since I am a local real estate specialist in [CITY NAME] and I'm confident I can assist you in [LEAD’S NEED: finding the perfect home]. Recently, I helped another client in the area who was very impressed by how easy the transaction went and all the options available. [ADD SOMETHING UNIQUE: We found a gorgeous home for him that and was right next to the top school system in the city]. I'd like to help you have a similar experience [LEAD’S REQUEST: buying a home]. [NAME], I want you to feel comfortable working with me and I will always respect your privacy. My job is to help simplify the real estate process for you, so let me know what would be most helpful for you at this stage: I have a wealth of information and ideas I can provide. If you have a preference between email or phone communication, just let me know so I can tailor my services to best meet your needs. If I don't hear back from you by email, I'll go ahead and give you a quick follow-up call just to ensure that you've received this letter. I'd love to hear more about your situation so I can better help with [LEAD'S NEED: your new home search]. I'm easily available by email at [YOUR EMAIL] or give me a call at [PHONE]. Also, you can find more information at [YOUR WEB ADDRESS OR OTHER CONTACT INFO]. Best Regards [YOUR NAME / CONTACT INFO] Send that letter!Use the template above as a base and customize it to fit your personality and service. Then make sure you're sending it! Fire off a copy of your template letter every time you receive a lead. Go ahead and make the minor modifications in order to personalize the letter before you send it. Or, your might choose to just create two standard letters: one tailored to Buyer Leads and the other specifically targeting Seller Leads. Try and get the letter out as soon as possible after receiving a lead: within 30 minutes is a good goal. Since LeadToRealty leads are sent both to your email inbox and via optional text message, you will know the minute a lead arrives, even if you're out and about. It doesn't matter which you do first: phone call or email; but always do both and do them as quickly as possible after you receive the lead.
